Centric PSA helps your organization plan people, log time, and track project margin. This page says what it keeps about you, why, and who can see it.
Who is responsible for your data
Centric PSA is set up for your organization. Your organization decides who gets an account and what is kept in it, and it is responsible for that data. Centric makes the software and handles the data only to run it for your organization.
For any question about your data, ask your organization's PSA administrator.
What is kept about you
- Your account: name, work email and a password. The password is stored scrambled, never as plain text.
- Your work records: hours and timesheets, project notes, expenses and receipts, time-off requests, skills, and the bookings that plan your time.
- Details your organization holds about your job: role, practice, manager, and the rates it uses to price and cost work.
- Sign-in and security records: when you signed in, from which address, and failed attempts.
- Copilot chats: what you ask the assistant and what it answers. They are private to you.
- Email we send you: sign-in links, password resets, and approval notices.
Why it is kept
- To run timesheets, planning, approvals and reports for your organization.
- To keep your account and your organization's data safe.
- To fix problems and support you.
It is not sold, and it is not used for advertising.
Who can see it
What a person sees depends on their role. A consultant sees their own work. A practice lead sees their practice. Finance roles see cost and margin. Your organization sets these roles.
The AI assistant
When you use Copilot, your message and the facts it needs to answer are sent to an AI model through OpenRouter. Each request tells the provider not to keep it and not to use it to train models.
Some data never goes to a model: pay rates, salary, and cost-based margin. Names and numbers are masked where possible. Copilot chats are archived after 90 days of no use and deleted after 12 months of no use, unless your organization changes this.
We also keep a usage log of who used the assistant, which model, and how much. It never holds your questions or the answers.
Other services involved
- OpenRouter, for the AI assistant, as described above.
- The outgoing email service your organization set up, to deliver mail.
There are no advertising or analytics trackers. The typeface is served from this site, so no font service sees your visit.
Cookies
Only the cookies needed to work: one that keeps you signed in, and a few that remember your name, picture and language. There are no tracking cookies.
How long it is kept
Work records stay while your organization needs them. Copilot chats follow the times above. Security records are cleared on a schedule your administrator sets.
How sign-in is protected
Sign-in links expire a few minutes after they are sent and work once. Repeated failed attempts lock the account for a while. Connections are encrypted.
Your choices
Ask your PSA administrator to show, correct, export or delete what is kept about you. Some records, such as approved timesheets, may need to be kept for your organization's own legal and finance duties.
